CPS/PES Parent Club Minutes 4/17/2012 Parent Club is a parent organization open to any parent from Philomath Elementary School. The primary goals of the Parent Club are to provide services to students and teachers, to increase communication among parents, schools and children, and to raise funds to support school activities. Parent Club meets the second Tuesday of each month at 7:00 p.m. at Philomath Elementary School. Everyone is welcome to attend and to participate at whatever level is desired. Check out our website! http://sites.google.com/site/pesparentsclub/ We are also on Facebook – “PES Parent Club”. Both of these can be accessed through the District website http://www.philomath.k12.or.us/ then PES, then click on “Parent Club”.
Greetings and Introductions – Kristi King, President: Kristi thanked everyone for coming. We did a quick roundtable so everyone could introduce themselves.
Minute corrections or additions – Kristi King: Minutes from the March meeting were emailed out. Kimberly moved to approve the minutes; the motion was seconded by Lisa Vick. All were in favor, none opposed.
Treasurer’s Report – Alexis Schiedler: Alexis reviewed the treasurer’s report. We started the month with a balance of $10,549.73. We paid out for the Author’s Workshop, our grant writer, TShirts, Jog-A-Thon supplies, etc. We have some outstanding and pending items and Alexis updated a few to note that they are not likely to be spent. Scholastic also billed us for the balance for a smart board. We ended the month of March with a balance of $13,335.68. Lisa Vick moved that we approve the Treasurer’s Report; Steve Mussatti seconded the motion. All were in favor, none opposed.
Principal’s Report – Cindy Golston, PES Principal: If you are a parent of a choir member, you probably attended the wonderful concert recently! Great job and thanks to the parent club for continuing to support this. School update – kindergarteners will attend at Clemens Primary next year. We aren’t aware of any other changes at this time, but will share any updates as we become aware of them. The Calendar was adopted for a September 10th start date. The new Philomath High School building should be finished on time and that will allow for adequate move and set up time. The tentative end of year date is June 20th, with the 21st reserved for a possible makeup day. Each Wednesday of next year will be an early release day to allow for staff developmental time. Suggestions of Fridays versus Wednesdays, along with several other aspects were discussed. There will also be the usual grading/scoring days throughout the year. We had some discussion about the scheduling of makeup days as well.

Old Business
• Campbell Soup Label contest: Trina will be getting some information to Kristi and we will talk about it next meeting.
• Yearbook: Michelle Thompson updated that the yearbook is completed and submitted. It is on schedule for a delivery date of June 8th. We need to get an earlier start on this next year. We were able to get 36 all color pages this year. If anyone is interested in helping with this next year, please contact Michelle Thompson so she can share what she has learned about it this year. Thank you to Michelle for organizing and Steve for making sure we had plenty of pictures to add. If you do have pictures that get taken between now and the end of the year, please keep that in mind for the end of year slide shows.
• Jog-A-Thon: We had a great Jog-A-Thon turnout this year! Thank you for all who participated, volunteered, and donated. A huge Thank You to Allison Rust for organizing this year – great job!
• Scholastic Book Fair: Stine reported that the book fair is doing great so far and will continue through the week. We need shift coverage for Wednesday afternoon (12-2).

New Business
• Spring Tulip Fundraiser – April 23rd – May 4th: Jamie is heading up this effort and had a draft order form for review. Labels, envelopes, and location of pick up still need to be worked out so she can finalize the flyers and get them distributed this week. She needs some volunteers to help collect orders as well as distribute on May 11th at PES. If you can help, please contact Jamie at 541-602-2637. More details to follow.
• Spelling Bee: Lisa Vick shared that the planning and dates are still in the works. More details to follow.
• Kindergarten Artist in Residence: Puppet making will take place April 30th – May 3rd. If you are able to volunteer, please contact your Kindergartener’s teacher.
• Kindergarten Registration: Mrs. Golston reported that registration will be Tuesday, May 1st from 6:00 – 7:00pm at PES. A full day option will be offered to see if there is enough interest.
• Strengthening Rural Families: Lizzie reported that we will have the Community Health Fair this Saturday, April 28th from 10:00am – 2:00pm at Philomath Middle School. Farm to Table will be taking place at PES April 18th. Our “Safe Routes to School” grant ends August 31st. This program has been very active and popular for several years now. We will need to have some volunteers take this over in order to keep this going. This includes activities such as the monthly Walk and Bike to School Day, National Walk and Bike to School Day, the May Challenge, and prizes or raffles for participation. There are several other opportunities and programs coming up as well. Please contact Lizzie at SRF if you are able to help or have questions. If there are parents interested in taking this over starting in September, please let Kristi know and we will review it next meeting.
• Parent Club Officers for next school year: In the May meeting, we will be nominating officers for next school year. Voting will take place in the June meeting. If you are interested in taking part, please contact any of the current officers. The Vice President becomes the President the following year, so positions of Vice President, Treasurer, and Secretary are available.
• New Business:
o Anton Grube came to talk about the calendar changes from the school board meeting last night. He voiced concerns about the early release Wednesdays planned for next year. He is completely in support of our schools and our teachers. He offered that the days could be managed differently by utilizing Fridays, and/or before or after school hours for the developmental time. He feels that a large number of parents are in support of keeping more regular days. If there are people in support of making a new proposal or talk to the board, he is available after the meeting.
o Sunny Bennett shared some information about the Book Flicks program at the Philomath and Corvallis Public Libraries.
• Voting items:
Mrs. Gruver - iPadII and iTunes card - $500 - 2nd vote passed

Meeting Adjourned – Thank you all for taking the time out of your busy evening to attend – we look forward to a very successful new year!
Our next regularly scheduled meeting will be Tuesday, May 8, at PES. Child care and refreshments will be provided. If there are any questions or concerns, Kristi King, Parent Club President, can be reached through email at pesparents@gmail.com
